Privacy at Hotels We Trust

Privacy Policy

This Privacy Policy explains how Hotels We Trust (“HWT”, “we”, “us”) collects, uses and protects personal data when you browse hotelswetrust.com, save stays, contact us, use a property-owner account or follow a Book Direct link.

1. Who controls your data

Hotels We Trust is the data controller for personal data processed through this website. For privacy questions, requests or complaints, contact contact@hotelswetrust.com or use our Contact HWT page.

2. Information you provide

  • Contact details and message content when you contact HWT.
  • Account details used to access a wishlist or participating property dashboard.
  • Property information supplied by owners or authorised representatives.
  • Preferences and saved stays when you use wishlist functions.

Please do not send sensitive personal information unless we specifically request it and explain why it is needed.

3. Information collected automatically

When you use the website, limited technical and usage information may be generated, including device and browser type, pages viewed, approximate country, referring source, timestamps, cookie or local-storage identifiers, and interactions such as property-profile views and Book Direct clicks.

We do not intentionally use HWT analytics to store full IP addresses or identify individual travellers.

4. How we use information

  • Operate, secure and improve the website and its search, map and wishlist functions.
  • Respond to enquiries and manage relationships with participating properties.
  • Provide property owners with aggregated profile and direct-click reporting.
  • Measure performance, diagnose errors and understand which content is useful.
  • Meet legal, accounting and security obligations.

5. Legal bases

Depending on the activity, we process data because it is necessary to perform or prepare a contract, because we have a legitimate interest in operating and improving HWT, because you have given consent, or because processing is required by law. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.

6. Direct booking and external websites

HWT is an independent discovery platform. A Book Direct button takes you to the selected property’s booking channel; an Official Website button may take you to a separate property website. Those external operators control their own privacy practices, cookies, availability, booking terms and payment processing.

HWT does not receive your card details or complete the hotel booking. Before providing information externally, review the privacy notice of the relevant property or booking provider.

7. Cookies and local storage

We may use essential cookies or local storage to keep the website secure, remember interface choices, maintain account sessions and support wishlist functionality. With consent where required, additional technologies may be used for analytics or performance measurement. You can manage cookies through the website’s consent controls and your browser settings; disabling essential storage may affect site functions.

8. Maps, media and social sharing

Map tiles, embedded media and social-sharing links may connect to third-party services when you interact with them. Those services may receive technical information such as your IP address and browser details under their own policies. Social links do not mean that HWT receives access to your social account.

9. Property-owner accounts

Participating properties may receive secure dashboard access. Dashboard statistics are intended for the authorised property only and may include aggregated profile views, Book Direct clicks, click-through rate, traffic-source mix and available market signals. Owners must keep their credentials confidential and notify us if access should be changed.

10. When data is shared

We may share only the information necessary with hosting, security, technical support, email, analytics and website-service providers acting for us. We may also disclose data where required by law, to protect rights and security, or in connection with a legitimate business reorganisation. We do not sell personal data.

11. International transfers

Some service providers may process data outside the European Economic Area. Where this occurs, we use an appropriate legal safeguard, such as an adequacy decision, standard contractual clauses or another mechanism recognised under applicable data-protection law.

12. Retention

We keep personal data only for as long as reasonably necessary for the purpose collected, including legal, accounting, security and dispute-resolution needs. Retention periods vary by record type. Account data is normally retained while the account or property relationship remains active; enquiries and operational records are reviewed and deleted or anonymised when no longer required.

13. Security

We use proportionate technical and organisational safeguards designed to protect data against unauthorised access, alteration, loss or disclosure. No internet service can guarantee absolute security, so users should also protect their devices and account credentials.

14. Your rights

Subject to applicable law, you may ask to access, correct, delete or restrict your personal data; object to certain processing; receive portable data; or withdraw consent. You may also object to processing based on legitimate interests.

Send requests to contact@hotelswetrust.com. We may need to verify your identity. You may lodge a complaint with Latvia’s Data State Inspectorate or the data-protection authority in your country.

15. Children

HWT is not directed to children and we do not knowingly collect personal data from children. If you believe a child has provided personal data to us, please contact us so that we can review and remove it where appropriate.

16. Policy updates

We may update this notice when our services, providers or legal obligations change. The current version and effective date will always appear on this page. Material changes may also be highlighted on the website where appropriate.
